This memo serves to inform all employees of the updated dress code policy, effective November 9, 2023. This update is being implemented to ensure a professional and consistent image for our company, maintain a respectful and inclusive environment, and promote safety within the workplace. We believe that a clear and well-defined dress code contributes to a positive and productive work atmosphere. We encourage everyone to read this policy carefully.
Purpose of the Dress Code
The primary purpose of our dress code is to project a professional image to our clients, partners, and the general public. Your appearance reflects directly on the company, and maintaining a polished and respectable look enhances our brand reputation. Furthermore, the dress code aims to foster a sense of unity and professionalism among employees, contributing to a more collaborative and focused work environment. Finally, in certain departments, particularly those involving safety-sensitive tasks, the dress code ensures adherence to safety regulations and minimizes potential workplace hazards.
General Guidelines
All employees are expected to maintain a neat, clean, and professional appearance at all times while on company property or representing the company at external events. Clothing should be well-fitting, free of tears, stains, or excessive wear and tear. Personal hygiene is also an essential component of a professional appearance. We expect all employees to practice good hygiene habits to ensure a comfortable and respectful environment for everyone. Consider appropriate attire for the weather and plan for unexpected temperature changes.
Specific Attire Requirements
The following guidelines provide more specific details regarding acceptable and unacceptable attire:
- Business Professional (Client-Facing Roles, Management):
- Suits (with or without tie for men), dress pants and a collared shirt, or skirts/dresses of appropriate length (knee-length or longer) are preferred.
- Blazers, sweaters, and vests are appropriate layering options.
- Professional footwear, such as dress shoes or closed-toe pumps, is required.
- Accessories should be conservative and professional.
- Business Casual (Most Office Roles):
- Dress pants, khakis, or skirts/dresses of appropriate length are acceptable.
- Collared shirts, blouses, sweaters, and cardigans are appropriate tops.
- Jeans (dark wash, no rips or tears) may be acceptable on designated days (see below for “Casual Fridays”).
- Professional footwear, such as loafers, flats, or dress shoes, is required. Closed-toe shoes are highly encouraged.
- Casual Fridays (Optional):
- On Fridays, employees may dress more casually.
- Jeans (dark wash, no rips or tears), casual pants, and comfortable tops are permitted.
- Company branded t-shirts are acceptable on Fridays.
- Athletic shoes may be worn on Fridays, but should be clean and in good condition.
- Specific Department Requirements (e.g., Warehouse, Maintenance):
- Employees in these roles may be required to wear specific uniforms, safety gear (e.g., steel-toe boots, hard hats), or other protective clothing as mandated by their department and safety regulations. Adherence to these requirements is mandatory and non-negotiable. Please consult your supervisor for specific details regarding your department’s requirements.
Unacceptable Attire
The following items are generally considered inappropriate for the workplace and are not permitted, except where specifically allowed for designated departments with safety requirements:
- Clothing with offensive or inappropriate slogans, images, or language.
- Clothing that is excessively revealing, such as tank tops, halter tops, tube tops, or clothing that exposes undergarments.
- Shorts (except where specifically permitted for certain departments or activities).
- Athletic wear (e.g., gym shorts, leggings worn as pants, sweatpants) unless specifically allowed for Casual Fridays or department-specific requirements.
- Flip-flops, sandals (except in designated areas where permitted), or overly casual footwear.
- Hats or head coverings (unless required for religious or medical reasons – see below).
- Torn, ripped, or excessively faded clothing (except as allowed on casual Friday with dark wash jeans).
- Clothing that is excessively tight or ill-fitting.
Exceptions and Accommodations
We understand that there may be circumstances that require exceptions to the dress code. Employees requiring accommodations for religious, medical, or other legitimate reasons should submit a written request to the Human Resources Department. These requests will be reviewed on a case-by-case basis, and reasonable accommodations will be made where possible, consistent with applicable laws and regulations.
Enforcement
Supervisors and managers are responsible for ensuring that all employees adhere to the dress code policy. If an employee is found to be in violation of the dress code, they will be notified privately and given the opportunity to correct the issue. Repeated violations may result in disciplinary action, up to and including termination of employment. We encourage employees to respectfully address any concerns regarding dress code violations with their supervisor or Human Resources.
