HOUSEKEEPING DEPARTMENT MEMORANDUM October 26, 2023 All Housekeeping Staff Jane Doe, Executive Housekeeper Standardization and Enhancement of Room Cleaning Procedures

Dear Housekeeping Team, This memorandum outlines important updates and reinforces existing standards for room cleaning procedures within our hotel. Maintaining consistent, high-quality cleanliness is paramount to guest satisfaction and the overall reputation of our establishment. This memo aims to provide clear directives to ensure every guest experiences an impeccably clean and comfortable stay. We will be covering key areas including detailed cleaning checklists, new product introductions, enhanced safety protocols, and importance of reporting any maintenance issues.

To guarantee comprehensive room cleaning, we are implementing a revised and more detailed checklist. This checklist is to be used for all occupied, vacant, and stay-over rooms. Please ensure you have a copy of the updated checklist with you at all times while performing your duties. A copy of the checklist is also attached to this memo. Bathroom: Scrub and disinfect all surfaces including toilet (inside and out), shower/tub, sink, countertops, and floor. Pay special attention to grout lines and remove any soap scum or water stains. Replace all used towels and amenities. Ensure proper ventilation. Mirrors should be streak-free. Bedroom: Make beds with fresh linen, ensuring a tight and professional appearance. Dust all surfaces including furniture, lamps, picture frames, and window sills. Vacuum or sweep the entire floor, paying attention to corners and under furniture. Empty trash receptacles and replace liners. Check and replenish all guest supplies such as coffee, tea, and stationery. General Room: Dust all surfaces. Clean and sanitize the telephone, remote controls, and any other frequently touched items. Clean windows and mirrors. Vacuum or sweep the entire floor. Empty trash receptacles and replace liners. Check for and remove any cobwebs. Inspect the room for any signs of damage or maintenance issues. Balcony/Patio (if applicable): Sweep or hose down the surface. Clean outdoor furniture. Remove any debris. Each task on the checklist must be initialed upon completion. Completed checklists are to be submitted to your supervisor at the end of each shift. This will allow for a more efficient monitoring system and ensures accountability.
We are introducing a new line of eco-friendly and highly effective cleaning products. These products are not only better for the environment but also provide superior cleaning power and a pleasant, subtle fragrance. All-Purpose Cleaner: Use for cleaning and disinfecting most surfaces. Dilution instructions are clearly marked on the bottle. Bathroom Cleaner: Specifically formulated for removing soap scum, mildew, and hard water stains in bathrooms. Glass Cleaner: Provides a streak-free shine on windows and mirrors. Floor Cleaner: Designed for cleaning and maintaining various floor types (tile, carpet, wood). Training on the proper use and dilution of these new products will be provided during the next team meeting. In the meantime, please refer to the product labels for detailed instructions. Always wear appropriate personal protective equipment (PPE) when using any cleaning product.
Your safety is our top priority. We are reinforcing the following safety protocols to ensure a safe working environment for all housekeeping staff. Personal Protective Equipment (PPE): Always wear gloves, masks, and eye protection when handling cleaning chemicals. Proper Lifting Techniques: Use proper lifting techniques to avoid back injuries. Bend your knees and keep your back straight when lifting heavy items. Wet Floor Signs: Always place wet floor signs in areas that have been recently mopped or cleaned to prevent slips and falls. Reporting Hazards: Immediately report any potential safety hazards to your supervisor. Chemical Handling: Never mix different cleaning chemicals together. Store chemicals in a secure and well-ventilated area. Please review the updated safety manual located in the housekeeping office. Regular safety audits will be conducted to ensure compliance with these protocols.
Promptly reporting any maintenance issues is crucial for maintaining the quality of our rooms and preventing further damage. If you notice any maintenance issues in a room (e.g., leaky faucets, broken appliances, damaged furniture), immediately report them to the maintenance department using the established reporting procedure. This includes filling out the maintenance request form located in the housekeeping office and notifying your supervisor. Detailed descriptions of the issue are crucial.

Thank you for your dedication to maintaining the highest standards of cleanliness and guest satisfaction. Your hard work and attention to detail are essential to our success. Please do not hesitate to contact me or your supervisor if you have any questions or concerns regarding these updated procedures. We are committed to providing you with the necessary resources and support to excel in your roles. Sincerely, Jane Doe Executive Housekeeper
